5-5 RULE
5 minutes before and 5 minutes after the half hour will be spent solely on making sure that there is no missing child, and that students make it to classes on time. So for the 4pm lesson time - please note that you are on high alert from 3:55 to 4:05. Please keep in mind that you are covering for BOTH locations. During 5-5 please do the following:
Teacher Texts
Teachers have been told that they will lose their jobs if they don’t notify the main line of missing students. Please read the “1 Minute Rule/Open Door Policy” in the Teacher training section. Teachers are supposed to text us at the 1 minute past the lesson time if a student doesn’t show up, as they are also hopping onto zoom. We need to text the parent ASAP and follow through with the teacher. We will have a liability issue if we do not contact parents or search for missing students. There are many possible scenarios and here are ways to handle different situations:
Same Day Cancels
Sometimes the parents will inform us that the child will not be able to attend last minute. Please offer them:
Zoom Lesson
The Teacher should already be up on zoom. The option to zoom will appear on the student’s portal 15 minutes before the lesson time. Please take the following steps:
Immediately text the teacher to hop on zoom
Do not offer to send a link but merely have the student click on the zoom button.
Switch the location of the lesson to the "globe” icon (from the “building” icon) so that we have a record of the lesson being a zoom lesson for security purposes.

2. Student Was Dropped Off
Sometimes the student was dropped off and there are different reasons they are missing. They may be:
In the restroom
Waiting in front of the wrong room - this happens sometimes when the regular teacher is out and the student was reassigned to a different teacher
A Trial Student may not be recognizable and doesn’t know where to go
Greeting Everyone
Please say “Hi! Do you know where you’re going” or “Do you know where your classroom is?” Please acknowledge everyone that walks through the door.
Trial Students
Keep track of new trial lessons happening at that half-hour and know ahead of time who to greet. Trial students will typically come a few minutes early so make sure they get to their classrooms on time. Please have them seated in the benches in the seating area in front of their classrooms and be ready to start when their teachers open the door right at the half hour.
Calls
Should always be answered immediately. It may be a parent/adult student who:
is lost on the way to the studio
is running late
can’t figure out to get onto Zoom
has a student inside the studio that can’t find their teacher
In-Person Signups Only
If you are signing up someone who is physically in front of you - please SLACK message so that others than cover the incoming texts for missing students. Otherwise, put everything on hold and solely clear old texts in order to notice the urgent incoming ones, answer easy ones and be ready for missing kids.
What to do when there are many people standing in front of you and you are covering alone?
Find out quickly what everyone needs, and prioritize those that can’t find their teacher classrooms first. Keep an eye on incoming texts - and if there is one from a teacher please very kindly and apologetically say - “Hey I’m so sorry but I’m just going to check real quick on a missing student - thanks so much!”
