INSTRUCTOR POLICIES
INSTRUCTOR CANCELLATION POLICY
Please submit the cancellation form below at least one month prior to your cancellation. If there is no available substitute, we will have to cancel your students’ lessons in its entirety. Even though we provide them with make-up credits, not keeping lessons consistent hurts retention.
Cancellations requested in the following months will not be approved:
August/September - Fall Signup months
January/February - Winter/Spring Signup months
May - Crucial Summer Retention month
NEVER notify students of cancellations since the studio assigns another teacher to teach at those times. Students are already aware that another teacher will teach at the lesson time whenever a regular instructor is out. If you tell the student - the student might assume the lesson is cancelled and might not show up.
You will not be paid for lessons that you cancel and do not work.
When you cancel a lesson, regardless of timing, you must make sure that the Opus feedback is updated for each Student Profile. Your Substitute will be accessing your Student’s portal notes in order to provide the most successful lesson. Sending out teaching notes at every lesson is a job requirement, and the Substitute is also required to leave notes for every Substitute and Makeup Lesson that he/she teaches.
RECITALS
ROOS organizes and plans all recitals from beginning to finish. Teachers are not required to be at recitals so your attendance is voluntary and there is no compensation should you choose to attend. You will be required to enlist and prepare your Students for Performance Workshops and Recitals. You are also required to ensure that the Student performs to his/her nest ability. After each Performance Workshop and Recital, you are required to watch the recorded video and provide constructive feedback to all of your Students. There should be a steady progression and demonstrated overall improvement by your Students with each performance. For example, your Student who is dangling their legs while performing “Minuet in G” at the Performance Workshop should be playing it a tempo and not be dangling his/her legs at the following recital.
TEACHING MATERIALS
All teaching material must be approved by Management in order to be absolutely secure that Roos Studios employees are not infringing on copyright laws. Students can purchase pre-approved lesson material available for lessons at any Roos Studios on-site bookstore.
ASSIGNMENTS
Teachers must give students written assignments for each lesson using the Roos Studios Assignment Form. Assignment sheets should be legible/easy to read, have clear instructions, and include feedback.
ZOOM LESSONS
Each employee is given a work email for the purposes of Zoom Lessons and internal communications only. If an employee needs to contact the Client during a zoom lesson – please contact the front and someone will help. Employees are not permitted to give out his/her personal number, work emails, communication accounts like Whats App, or social media accounts/Meta under any conditions.
COMMUNICATION WITH CLIENTS
All communication between instructors and students is done through the Roos Studios front desk staff or your Opus1 portal. Students (of any age), parents and instructors are not given one another’s contact information nor do we want instructors, students or parents to volunteer their contact information, including social media accounts or side business information to one another. If a parents or student asks for your personal or work email address, personal phone number, social media profile, do not give it to them. Do give them the number to the main line (949) 328-1131
This is a key concept in the operation of Roos Studios. We want our instructors to be able to focus on their teaching and not on scheduling lessons, explaining policies, collecting payment, or answering other day-to-day questions. While this policy is explained to students as well, sometimes they forget. If students or parents ask you questions about scheduling, make-ups, or any policies, please just send them to the front desk. Let them know that the front desk has the master schedule and wiil help them.
If you would like to communicate to a student or parent during the week, you can send a message through the portal. Just send it to us with a request to pass it along to the student and we will be happy to forward your message to them if you prefer to text it. If a parent or student is asking you for your contact information, just let them know you are not allowed to share that per our policy, and ask them instead to text Roos Studios and we will forward the message to you.
PHYSICAL CONTACT WITH STUDENTS
Employees must have not have any physical contact with any student. Please adhere to the following guidelines:
• Do not make lesson arrangements outside of Roos Studios’ physical location
• Do not adjust Student’s hands or fingers on the instrument - instead please demonstrate
• Do not adjusting any part of Student’s body
• Do not hug the Student unless the Student initiates or is comfortable with it - please fist bump or do one arm side hugs
CONTACT WITH STUDENTS OUTSIDE OF ROOS STUDIOS
Employees must not have any contact with any student outside of the Studio without written permission of Management. This includes but is not limited to:
• Attending Student school performances
• Meeting with Student outside of Roos Studios for any reason
LETTER TO AND ON BEHALF OF CURRENT & PRIOR ROOS STUDENTS
Employees must not write recommendation letters on behalf of any Roos students. Please forward all requests to Management.
