Administrative Time
Administrative Time is optional and paid at minimum wage. During this time, an instructor will be assigned the following tasks such as these and any additional task that would benefit the studio: train Students/Parents on the scheduling software, greeting and giving studio tours, cleaning the studio, organizing teaching room, light office duties such as making copies or filing, calling students whether it be their own or general studio students, sending student assessments via the portal, etc. It is a great time to reach out to students that may need extra help, and to send extra material along.
Benefits
The company offers benefits through ADP. Please contact MyLifeAdvisors at (844)448-0325 or email mylifeadvisors@adp.com for more information on eligible benefits you specifically qualify for. For Full-Time employees who work 30 hours or more a week - eligibility is on the 1st of the month following 60 days. So for example - if you start on 8/15 your benefits would be effective 10/15 or whichever date is at 60 days. Open Enrollment Season is every March to make any benefit changes to go into effect on 6/1.
Break Room
Please clean up after using the break room including your eating area, microwave messes, etc. Due to multiple employees sharing the refrigerator we ask that employees label their items and do not leave food overnight. Anything in the fridge will be tossed at the end of the week.
Calendar
The Current Lesson Calendar is always online at www.RoosStudios.com > CALENDAR. You can save the link to the Notes section of your phone. We are only open 44 weeks out of the year so please schedule vacations, gigs, events outside of your scheduled work time.
Contact with Students/Parents
All Students/Parents and Teachers will communicate via the Opus portal with no exceptions. Do not give out your work email - which is used for Zoom lessons and to communicate internally. Please do not add Roos parents or students to social media, Snapchat, WhatsApp, or any other form of communication outside of the Opus portal. Contact outside of the school is not permitted due to potential liability.
Conflict of Interest
All Studio Office Staff and full-time Instructors (full-time constitutes a 30 hour work week) may not work at any other educational institution (whether or not it is music-related) or teach privately outside of Roos Studios. Part-time Instructors may teach privately and at other studios as long as it is not within a 10 mile radius of Roos Studios locations. This is due to potential conflicts that could arise with teachers working at two schools that are down the street from each other. Some exceptions may apply where a teacher teaches at a school that more than 10 miles away, but Management may still consider it to be a conflict of interest. Other exceptions may apply such as taking a job with a Charter, etc. - in which case Management will deem it not fit to work at Roos Studios and other employer at the same time. All other private teaching, employment or working at child/music/creative/recording studios/entertainment field must be disclosed to Management.
Culture of Honor
At Roos, no gossiping or slander is tolerated. We ask that teachers never discuss students on premises since they may be right around the corner, or their parent may be in the lobby. All complaints should be texted directed towards management.
Locks
Door locks should be taped over and never used, except in the restrooms. We do not want the risk of a student locking themselves in.
Dress Code
We are a school and need to maintain a level of professionalism. All employees must have proper hygiene and aim to dress for success! We would like our employees to dress business casual - this includes short sleeve button-up shirts, nice T-shirts with no logos, no baseball caps, no athletic sneakers (like hiking or running shoes). Clothes that are too revealing or skintight are not appropriate for the workplace - this includes exposed stomach, cleavage, chest, back, visible underwear and super-short skirts.
Food
Food is not allowed in the classrooms and should be contained to the break room only. If an Instructor needs to have a quick snack like a bar or banana - there are small trash bags in the room to tie the wrapper/peel in for you to walk it to the lobby trash. We have ants, rodents and cockroaches although we spray for bugs and the food odors in the room attract them! We are a nut-free zone so please do not bring anything manufactured in a nut-processing facility or any item that contains nuts to the workplace.
Instruments
All instruments should be put back onto the holders after teaching. All Guitars should not be propped up against the wall in case they slide to the floor and get damaged. Grand Pianos should remain covered, with the music stand on the top. Please make sure the player option is always in the off position. Please close the key cover at the end of each day. Piano key spray polish should not be used more than once a week. Please note that Piano Key polish is to preserve the piano keys - there is no antibiotic component. Having students wash hands before and after lessons is the best way to maintain cleanliness. Please do not remove instruments and equipment from other teacher rooms as everything is there for a purpose. If you need anything please text the main line and staff will help you.
Integrity
Employees should be working during compensated times, and not working during uncompensated times such as breaks and lunches. Should an employee want to waive a paid time to do personal items, please let management know to adjust the time card. Teachers should only be teaching during paid teaching times, and focus every aspect of the lesson on music only. For example, if a student starts looking tired or uninterested please suggest playing a ear training game, music flashcards, rhythm game, etc. Do not watch a movie, show personal pictures, or do anything outside of music. Staff is never permitted to show pictures on your phone to a minor.
Inventory
Please do not remove any instruments, supplies, cables, etc. from any of the rooms. After using a room, please put it back exactly as you have found it. We have a set inventory per room. If you need supplies, please contact Management.
Makeups
Our makeup policy is very flexible. It is super easy for Students/Parents to add the portal to their phone homepage like an app and reschedule as many lesson as they like. They have 3 months to make up a lesson, and we can extend it for them if needed. Families can share lesson spots as well - so if Billy can’t make it in for guitar, his sister can take the lesson even last minute so they don’t lose out on the lesson.
No Nut Zone
Any food or products containing any nut product (including almonds, peanuts, pine nuts, cashews, walnuts) or manufactured in a nut facility is not allowed on the premises. Please be sure to check if your hand creams, hair products, contain nuts/nut oils since we have Employees and Students who have severe nut allergies.
Outside Interests
There will be no soliciting of outside businesses or promoting side hustles such babysitting, housesitting, jewelry parties, entertaining, etc. Inviting Students/Parents to personal events such a shows, parties, religious events, etc. could lead to awkwardness since many times the asked party feels obligated to attend, and favoritism can sometimes be shown to students who have attended. We prefer that all interactions stay on monitored premises.
Parents
We do not encourage Parents to sit in on lessons since we have noticed that it is not conducive to productive lessons. If it is every once in a while to help the Student practice - the Instructor needs to let Management know why the exception is beneficial. If one Instructor allows it all the time, the Parents will expect it from all the Instructors. There are waiting rooms with WiFi at all locations,
Parking
Carlsbad employees can park anywhere. San Clemente employees are asked to street park. Please do not park in any designated spot or in the reserved parking spots in front of the studio (San Clemente location only). We keep those spots open for new customers or drop-off/pick-ups.
Personal Usage of Company Equipment
Please do not use company laptops, instruments, office equipment for personal use. For example, if you are a student please print your assignments at home. If you dabble in recording please do not use company laptops for projects, as we do software updates and delete any programs and data that would slow down the speed of our computers and which add to the wear and tear of equipment. Please limit company resources to work-related projects only. If you need to practice for a gig, rehearse for an audition, have a recording project - please do it from your home.
Pictures
Please do not take any pictures or videos of students without Management approval. The company gets written permission to use any pictures for social media, etc. We take pride in our facilities. Please give credit to Roos Studios if you post pictures/videos of yourself in one of our teaching rooms.
Social Media
We have a strict policy not to add Students/Parents to social media accounts. Employees must disclose all existing and new social media accounts, and not post anything that would have a negative impact on the company.
Store
Please be sure to input the referring Employee number if running a sale for a Student. We are working on a reward system for Employees to get credit for referrals. Pre-Sales are allowed, and if you anticipate a Student needing a book please place the order at least 2 weeks out so we have time to order an out of stock item.
Studio Closures
Students may ask about taking a break from lessons when the studio closes. It is best NOT to say “Many students take breaks over winter and summer” since many of our students will just cancel lessons on the portal and take makeups. We allow families to share plans, siblings to use makeups, etc. - see “Makeups” section. Please say instead to your guitar student for example - “Many of my students reschedule or double up on lessons the week before or after vacation. Billy can use the makeup in to get a touchup lesson in voice to work on just singing “Riptide” or a lesson in drums to work on rhythm." Summer/Winter is the best time to catch up on some practice. It’s a bad idea to take a break since kids forget a lot of what they’ve learned if you don’t keep it up?
Student Complaints/Terminations
We have implemented a procedure to increase retention and to raise the bar of excellence at our studio. When the studio staff receives a complaint or notification to quit, we will get feedback on what went wrong and what could have been done better from both the Student and Teacher.
Late Students
When a Student is a minute late, the Teacher needs to be ready on Zoom and simultaneously text (949)328-1131 that the Student has not arrived. The Studio Staff will text the Student/Parent with a reminder, and if the Student ends up not showing the Instructor is still paid for this “No-Show”. If the Student doesn’t arrive 5 minutes into the lesson, the Instructor need to create a 15 minute lesson video (can be done in 3 clips of 5 minutes each) and send it to the Student through Opus along with an Assignment Sheet. The Instructor will be compensated at regular teaching rate for the Zoom, Video Lesson so the full-time teaching time is expected during this time.
All Students have the option to hop onto Zoom in lieu of coming into the physical studio location. 15 minutes before the start of a lesson the Student will see a “Zoom” button that they can click on right at the start of the lesson time. Each Teacher will have a personal Zoom link and can use the same one to hop on. Students are told to message the Instructor on Opus if they decide to Zoom last minute, but sometimes they forget so please be ready to teach on Zoom.
Wi-Fi
We offer free Wi-Fi for all Guests. The following log-ins are the same for all guests and employees:
