WITHDRAWING STUDENTS

We love all of our students and wish they could stay forever. However, there are times when students have to quit and move on due to many reasons that have nothing to do with us. However, there are times when students want to withdraw due to something that went wrong at our studio. Here is some guidance on how to handle these withdrawals:

Step 1 - Follow the steps on the WITHDRAWAL BOARD on M.c while:

EMPATHIZE

“Oh no! I’m so sorry to hear you’ll be stopping lessons! So sorry to hear that you are moving away (whatever reason the student gave). Is everything ok?”

RECORD ON WITHDRAWAL BOARD

LISTEN & TAKE NOTES

Document the reason for withdrawing and take detailed notes on Opus. Alert management and make sure it is on the WITHDRAWAL BOARD

SUGGEST SOLUTIONS

  • Not Happy With Current Instrument - “I hate to see (name of student) stop doing music! Sometimes we’ve had students switch to a different instrument that ended up being a better fit for them. Have you thought about trying a different instrument?”

  • Not Happy With Current Teacher - “We’d love to have Billy try a lesson with Teacher Maddy and if he likes her we can definitely switch him over?” or “Have you considered trying out a lesson with one of our other instructors? I’d be happy to recommend someone who might be a better fit.”

  • Time Conflicts - “Now before I do that, I just want to make sure… is there a different day or time that would work better with your schedule?”

  • Going on Vacation - “Did you know you can cancel as many lessons as you need, to reschedule them at a later time? When you cancel them - the makeups will go right into your lesson bank. You can log in and book a makeup anytime. They don’t expire, and friends and family members can also use your makeup lessons. Parents or siblings can use the extra lesson and take a fun voice or guitar lesson at the same time if there is availability. You can also book an extra lesson during the week when you return from vacay, or use the extra lesson towards an extra drums, guitar, or any other instrument for fun!

STILL WANTS TO WITHDRAW

  • Happy… But Still Leaving - if they say “We love the music school and everything, but Billy just isn’t interested in learning guitar anymore” say "It would help our music school so much if you wrote that in a review! Do you Yelp or Google? I can send you links!”
